Account Information

When you register or are invited to GymSketch, we collect:

• Full name and email address
• Phone number
• Role (Gym Owner, Trainer, Member, etc.)
• Gym name, Gym ID, and branch details

Member & Gym Data

Gym owners and their staff may enter data about gym members including:

• Member profiles (name, contact, date of birth, emergency contact)
• Subscription plans and payment history
• Attendance records
• Fitness and health notes (if entered by the gym)

Payment Information

We do not store credit/debit card numbers or sensitive payment credentials. Payments are processed by Razorpay (a PCI-DSS compliant payment gateway). Razorpay's privacy policy applies to all payment transactions. We only store transaction IDs, order references, and payment status returned by Razorpay.

Usage Data

We automatically collect limited technical information including:

• IP address and browser type
• Pages visited and actions taken within the platform
• Device type and operating system
• Session timestamps

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the GymSketch platform
• Authenticate users and manage account access
• Process subscription payments and generate invoices
• Send transactional emails (account setup, renewal reminders, invoices)
• Send WhatsApp and email notifications configured by the gym owner
• Respond to support requests and enquiries
• Monitor platform security and prevent abuse
• Comply with legal obligations

4. Data Sharing & Third-Party Services

We do not sell your personal data. We share information only with the following third parties as necessary to operate the platform:

• Razorpay — Payment processing. Subject to Razorpay's Privacy Policy.
• Google / SMTP Providers — Email delivery for transactional notifications.
• WhatsApp Business API — If enabled by the gym owner for member notifications.
• Hostinger — Cloud hosting and data storage infrastructure.

All third parties are required to handle your data securely and only for the purposes we specify.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide services. If you request account deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal, regulatory, or accounting purposes.

Gym members' data entered by gym owners is owned by the respective gym owner and will be deleted upon their account termination.

6. Cookies

GymSketch uses session cookies to maintain your login state. We do not use third-party tracking or advertising cookies. You can disable cookies in your browser settings, but this may prevent some features from working correctly.

7. Data Security

We implement appropriate technical and organisational measures to protect your data, including:

• HTTPS encryption for all data in transit
• Password hashing using industry-standard algorithms
• Role-based access control to limit data exposure
• Regular security reviews of our codebase

While we take security seriously, no system is completely immune to threats. We encourage you to use strong passwords and report any suspicious activity to info@gymsketch.com.

We may update this Privacy Policy from time to time. If we make significant changes, we will notify registered users by email and update the "Last Updated" date at the top of this page. Continued use of the platform after changes constitutes acceptance of the revised policy.
