Refund & Cancellation Policy

1. Subscription Overview

GymSketch offers cloud-based gym management software on a subscription basis. Subscriptions are available on monthly and annual billing cycles. Once a subscription is activated, access to the platform features begins immediately.

2. Refund Eligibility

2.1 Monthly Subscriptions

For monthly subscriptions, you are eligible for a full refund within 7 days of the payment date, provided that:

• The refund request is submitted within 7 calendar days of the payment
• The subscription is for a new purchase (not a renewal)
• The request is made in good faith with a reasonable reason

No refunds will be issued for monthly subscriptions after the 7-day window has passed. The subscription will remain active until the end of the billing period.

2.2 Annual Subscriptions

For annual subscriptions, you are eligible for a pro-rated refund calculated for unused complete months, provided that:

• The refund request is submitted within 30 days of the annual payment date
• The account has not violated our Terms and Conditions

The pro-rated refund is calculated as follows:

Refund = (Annual Price ÷ 12) × Unused Complete Months Remaining

After 30 days, annual subscriptions are non-refundable. You may continue using the service until your annual term expires.

3. Non-Refundable Situations

Refunds will not be issued in the following circumstances:

• Refund request is submitted after the applicable window (7 days for monthly, 30 days for annual)
• Account has been suspended or terminated due to violation of our Terms and Conditions
• The subscriber has already received a refund for the same subscription period
• Requests citing features that were clearly described before purchase
• Partial use of the subscription period (access was available and working)
• Setup or onboarding fees (if applicable) are non-refundable

4. Cancellation Policy

You may cancel your GymSketch subscription at any time:

• By emailing info@gymsketch.com with your account details and reason for cancellation
• By contacting our support team through the platform's help section

Upon cancellation:

• Your subscription will remain active until the end of the current billing period
• No further charges will be made after cancellation
• Your data will be retained for 30 days post-cancellation, after which it may be permanently deleted
• You may download an export of your data before cancellation by requesting it from our support team

5. How to Request a Refund

To request a refund, please email us at info@gymsketch.com with the following information:

1. Your registered email address
2. Gym name and Gym ID
3. Date of payment and transaction/order ID (from your invoice or Razorpay receipt)
4. Reason for the refund request

We will acknowledge your request within 2 business days and process eligible refunds within 7–10 business days of approval.

6. Refund Processing

Approved refunds will be processed back to the original payment method used at the time of purchase (credit/debit card, UPI, net banking, etc.) via Razorpay. Please note:

• Credit/debit card refunds may take 5–10 business days to reflect, depending on your bank
• UPI and net banking refunds typically reflect within 2–5 business days
• We are not responsible for delays caused by your bank or payment provider

7. Trial Periods

If GymSketch offers a free trial period, no charges are made during the trial. Refund provisions apply only to paid subscriptions. Upgrading from a free trial to a paid plan initiates the refund window from the date of the first payment.

8. Disputes

If you believe a charge has been made in error, or if you disagree with a refund decision, please contact us at info@gymsketch.com. We are committed to resolving disputes fairly and promptly. If we are unable to resolve the matter, it will be subject to the dispute resolution provisions in our Terms and Conditions.

9. Policy Updates

We may update this Refund Policy from time to time. Significant changes will be communicated to active subscribers by email and reflected in the "Last Updated" date above. The policy in effect at the time of your payment governs your refund eligibility.
